About my booth

• Booth Pricing

  Booths are available in 10×10 increments at $250 each. Vendors can purchase their desired size, and booths come with black pipe & drape, back wall only.
  
  Artist Tables are 6ftx6ft for $150. This does not have pipe & drape, but includes 1 undressed table.

• What does the exhibitor hall look like?

  This is the current layout for reference, but is not final. The final layout will be shared later this summer once booth placement is finalized.
  
  Note: 10×10 spaces can be purchased together to form larger booth sizes like 10×20.

• How do I buy my booth?

  Once booth sales open, you be able to purchase your booth via your vendor profile:
  1. Login to tabletop.events using the same profile you applied with.
  2. View your application in the “Exhibitor/Sponsor” navigation tab.
  3. Scroll down to “Existing Applications” and click the green “Booths” button.
  4. Scroll down to “Available Booths” section and select your desired booth(s).
  If selecting multiple, you will need to select them one by one.
  Tabletop.events does not have interactive mapping, so you will need to reference the layout map to know which booth numbers to choose.
  5. Select any add-ons (furniture, oversized parking, sponsorships, etc.) and check out.
  Your booth selection should be considered a request. We may adjust your placement to create a best experience for both you and our attendees. If we adjust your placement, we will let you know.

• What comes with my booth?

  10 ft high, black pipe & drape, back wall only. 3ft high, side pipe & drape may be available as an add-on via special arrangement with the Event Coordinator.
  
  Artist Tables will come with 1 – 6ft, undressed table.
  
  The corners of all vendor spaces will be marked with “spike tape” for clarity of boundaries. Do not remove this tape.

• I need extra tables and chairs

  You can rent tables and chairs as add-ons during your booth selection. You can add these on at any time, up to 60 days from the event date, but we recommend you do so as soon as possible as availability is not guaranteed and supplies will be limited the closer we are to the event.

• How do I get electricity for my booth?

  Electricity can be ordered directly through Gas South’s Service Order Form.
  – Enter Oct 1 as the service date and select the desired amount of phases (outlets).
  – Phases are 20 AMP-120volts, so plan accordingly based on your equipment.
  – The listed pricing is per phase and is good for service for the entire convention.
  – We recommend placing your order by 60 days from the event start, as pricing is subject to change. Any orders received 7 days from event start is subject to availability.

• I need internet connection. What are my options?

  The Gas South Convention Center has free WiFi available. It is very strong and can handle most basic needs.
  Hardline internet connections are available for purchase through Gas South’s Service Order Form starting at 3MB. While this option is available, it can be expensive. If you require a stronger connection beyond the provided WiFi, we recommend bringing your own hotspot.

• Do you have any restrictions?

  Please see the Booth section of our Vendor Terms & Policies for booth guidelines and restrictions.

• Can I hang things from the pipe & drape?

  Signs and decor can be hung from the piping using s-hooks, string, and other temporary, non-adhesive means. Nothing may be adhered or attached to the drape.
  Any damage done to the pipe or drape may result in a charge.

• Are there aesthetic requirements?

  While we do not have specific aesthetic requirements, we expect all vendors to utilize display tools, furniture, and booth space to create a professional display that allows for an easy shopping experience. Vendors should avoid things like wire racks, over-crowding, and anything that might create a “flea market” style vibe.
  
  You may also want to incorporate the design theme for 2026: “Into the Crystal Caverns”.
  When in doubt, send us a photo of your planned layout and our Event Coordinator is happy to offer feedback and suggestions.

• Why did my booth selection get moved?

  Your booth selection should be considered a request. We may adjust your placement to optimize the flow and experience for our attendees. If we make a change to your selected booth, we will notify you. If you have any questions about your placement, contact the Event Coordinator.

• Can I move or swap booths?

  Adjustments to your placement may be made at any point before the finalization date. If you would like to adjust your placement after purchase, please contact the Event Coordinator.

  Do NOT initiate any placement changes without notifying the Event Coordinator, as this will affect operations.

  Except where placement is part of a sponsorship package, we cannot guarantee any placement. However, we will do our best to honor placement requests as it aligns with the desired flow and design for the event.

• Are corner/endcap booths available?

  We reserve corner and endcap booths for our elite vendors and sponsors. If you are an elite vendor/sponsor and desire a specific booth, please submit the request to the Event Coordinator. If you do not have elite status and desire this specialty placement, you are still welcome to submit a request to the Event Coordinator and we will do our best to fulfill it as space becomes available.

• Is security provided overnight?

  Yes. Outside Exhibit Hall hours, Exhibit Hall doors will be locked to all but LUG Con and venue staff. An officer remains on site as long as attendees are present, and overnight, the entire building is locked down.

  While we are confident in the security measures in place, we always recommend you exercise caution and take steps like covering your booth and removing any valuables.

• How many staff can I bring?

  You are welcome to bring as many staff as you need for your event to run smoothly, but each staff member needs a badge for the convention days. (Badges are not required for load-in day).

  Two (2) Exhibitor Badges are included with each 10×10 booth space. Additional staff badges may be provided complimentary for vendors who host officially scheduled events (restrictions may apply).

  Additional staff badges may be available upon request.

• Can I have a tent with my booth design?

  Tents are considered on a case-by-case basis, due to venue safety policies. Tents are considered anything that restricts 3 or more sides of a space and/or top coverage. If you desire a tent or walled structure, you must submit your designs to the Event Coordinator for venue approval. Approved designs may have additional safety requirements.
